Subject: Invitation to Bid – Access Control 2025
To whom it may concern,
We are pleased to invite you to submit a bid for the Access Control 2025 project as described in the following specifications. This project is part of our ongoing efforts to better secure our facility by upgrading and enhancing our door access controllers and video door stations.

1. Project/Service Overview:

• Project/Service Title: Access Control 2025
• Location: 4754 Smallhouse Road, Bowling Green, KY 42104
• Scope of Work: Mount twenty-one (21) single door controllers in twenty-one (21) locations and nine (9) video door stations and twelve (12) Network strobe sirens in locations provided by us. New hardware, including maglocks, rex buttons, and motion detectors are to be installed at fourteen (14) door locations, and twenty-one (21) readers will be installed on all doors on the system replacing the old readers at seven (7) doors. Two (2) additional motion detectors are to be installed on existing doors. Four (4) new power supplies are to be installed to provide power to the new doors being added to the system. Additionally, cat6 cables are to be run to twenty-one (21) door controllers, nine (9) video door stations, and twelve (12) network strobe sirens. This includes terminating, testing and labeling all drops. A quick-access mechanism for total lockdown should be included. All related hardware and software, including controls, are to be included.
  
  

2. Key Dates:

• Invitation to Bid Issued: 09/10/2024
• Pre-Bid Meeting & Facility Tour: 09/26/2024 at 10:00 am CDT – Bidders must email [email protected] to RSVP to the pre-bid meeting by end of business day 9/24/2024.
• Deadline for Questions: 10/11/24 at 4:30 pm local time.
• Bid Submission Deadline: 11/04/2024 at 4:30 pm local time
• Bid Opening Date: 11/05/2024
• Estimated Project Start Date: 01/06/2025
• Estimated Project Completion Date: TBD, but project must be completed by 11/30/2025.
  
  

3. Submission Requirements:
Please submit the following with your bid:

• Your business name, address, phone number and email address.
• A detailed cost estimate, including make & model of all supplies, materials, rentals, hardware, software, equipment, and labor required, plus lead time for acquiring the equipment (if more than 3 weeks).
• A timeline for project completion.
• Proof of relevant experience and qualifications.
  
  

4. Additional details:

• Bidders must be properly licensed under the law governing their respective trades and be licensed for work in Warren County, KY, and be able to obtain adequate insurance and bonds required for the work.
• Bidders will adhere to all OSHA guidelines.
• References from previous clients must be made available upon request.

7. Submission Instructions:
Sealed bids will be received in the Holy Spirit Catholic Church parish office located at 4754 Smallhouse Road, Bowling Green, KY 42104, until 4:30 pm CST on November 4, 2024. Bids shall be in a sealed envelope clearly labeled “Access Control 2025”. The envelope should be placed in another envelope or package to ensure against premature opening. The envelope should bear on the outside the name of the bidder and their address.

By providing a bid, the bidder affirms that he/she has thoroughly reviewed the plans and documents, is familiar with the area and requirements for the work proposed and has visited the site to familiarize him/her with facility conditions. It is the responsibility of the bidder to acknowledge any and all addenda prior to submitting a bid.

Only bids received by the appointed time will be considered. The Pastor of Holy Spirit Catholic Church reserves the right to reject any or all bids or to accept the lowest bid or lowest evaluated bid or to waive any informality.
